What decides the cost of custom software

Why two quotes for “the same app” can be far apart — and the five things that actually move the price.

“How much will it cost?” is the first question almost everyone asks, and an honest answer always starts with “it depends”. That is not a way of avoiding the question. Two apps that sound the same in one sentence can be very different pieces of work. Here is what actually decides the price, so you can compare quotes properly.

1. How many kinds of people use it

A system used only by your own staff is one thing. Add customers, dealers or patients who each see something different, and every screen has to be thought through for each of them: who may see what, who may change what, and what each one is told when something happens. The number of user types is usually the biggest single driver of effort.

2. What it has to connect to

Payments, accounting software, a CRM, SMS or WhatsApp, a courier, a government portal — each connection is a small project of its own. Some services have clear, well-documented connections; others need testing against a live account before anyone can say how long they will take.

3. The rules hidden inside your work

“Raise an invoice” sounds simple until it needs tax worked out by state, discounts for some customers, part payments and credit notes. The more of your business rules the software has to follow, the more there is to build and to test. Writing those rules down before a quote is the best way to get an accurate one.

4. Web, phone, or both

A web app that works well on a phone is often enough. A mobile app in the stores adds design for small screens, store reviews and updates on two platforms. Decide which your users really need first — many projects start on the web and add a mobile app once the system has proved itself.

5. What happens after launch

Hosting, backups, security updates, small changes and support all continue after the first release. A quote that stops at launch day is only part of the cost of owning software.

How to get a quote you can trust

  • Describe the people who will use it and what each one needs to do.
  • List the services it must connect to.
  • Ask for a fixed scope and price for a first release, not the whole dream at once.
  • Ask what is not included, in writing.
